Position summary: The Construction Administration Coordinator will support project managers by ensuring project documentation is accurately processed, tracked, and communicated throughout the bidding and construction phases. Compensation for this position is $24.00 - $29.00 an hour, commensurate with experience, education and certifications. The provided range is a good faith estimate based on the requirements described within the job description. Essential functions and responsibilities:
- Support Project Managers with document workflows during the Construction Administration phase of design projects.
- Coordinate submittal and RFI workflows across multiple platforms (e.g., Procore, Auto Cloud Construction, ECMS), ensuring accurate logging, routing, and tracking within the firm's project management system.
- Monitor review timelines and follow up with project team members to ensure timely completion and response to project documentation.
- Manage multiple projects concurrently, balancing priorities to support timely document coordination and delivery.
- Track and support the review of change order proposals and prepare change orders.
- Maintain accurate and up-to-date project documentation within firm systems.
- Prepare project reports to support monitoring of construction phase progress.
- Support construction meetings, including coordination and documentation as needed.
- Communicate with project teams, clients, and contractors to facilitate timely document flow and responses.
- Provide general administrative and project support for Project Managers and project teams.
- Perform quality assurance/quality control (QA/QC) checks to ensure project documentation is accurate, complete, and consistent with project requirements.
