About the role

  • We are seeking an HR Specialist to manage day-to-day human resources operations across multiple affiliated companies. This role supports recruiting, onboarding, employee records, payroll, timekeeping, leave, benefits, employee communications, and HR systems. The ideal candidate is detail-oriented, responsive, and comfortable coordinating with employees, managers, and outside providers.

Key Responsibilities

  • Manage day-to-day HR operations across multiple affiliated companies and coordinate onboarding, orientation, employee changes, transfers between entities, and offboarding.
  • Prepare, collect, and review new-hire documents; follow up on missing information and maintain accurate, confidential personnel records.
  • Maintain employee profiles, reporting relationships, employment details, and approval workflows in Rippling.
  • Process changes to compensation, job titles, managers, work locations, employment status, and employing entities.
  • Prepare employment letters and notices, respond to employment verification requests, and produce routine headcount, employee change, attendance, and leave reports.
  • Coordinate employee separations, including information needed for final payroll, benefits notifications, and return of company property.
  • Prepare and process semi-monthly and biweekly payroll for multiple company entities.
  • Review timesheets, attendance, overtime, shift differentials, PTO, sick leave, and unpaid leave before each payroll submission.
  • Track payroll deadlines and follow up with employees and managers on missing time, corrections, leave requests, and pending approvals.
  • Investigate payroll discrepancies, answer pay-related questions, and coordinate corrections with Rippling.
  • Administer timekeeping and leave workflows, verify balances, and follow up on manager approvals.
  • Explain payroll schedules, timekeeping requirements, and leave procedures to new and existing employees.
  • Partner with hiring managers to define position requirements and maintain job descriptions.
  • Post openings, review applications, coordinate with staffing agencies, schedule interviews, and communicate with candidates.
  • Coordinate pre-employment and onboarding steps, then follow up to ensure new-hire records, payroll, and benefits information are complete.
  • Respond to employee and manager questions about pay, benefits, attendance, leave, and company policies; escalate sensitive or unresolved matters to management.
  • Draft and distribute employee communications and policy notices in English and Chinese as needed.
  • Coordinate benefits enrollment and employee changes with benefits brokers, providers, and Rippling.
  • Assist with workers’ compensation documentation, billing questions, and claim-related communications.
  • Manage HR system access and work with Rippling support on configuration, timekeeping, payroll, and employee record issues.
  • Support HR and payroll setup for new company entities and coordinate employee transfers between entities.
  • Document HR procedures and handoff instructions, support consistent processes across entities, and help communicate approved handbook and policy updates.

Qualifications

  • 1-3 years of experience in HR operations, payroll, or a related role; experience handling payroll and employee records is preferred.
  • Strong attention to detail, organization, follow-through, and the ability to handle confidential employee information.
  • Ability to manage competing deadlines and communicate effectively with employees, managers, and external partners.
  • Proficiency with Microsoft Office; experience using Rippling is preferred.
  • Ability to communicate in English and Chinese is preferred.
